Any event or purchase over $25, and required to reserve a paid space.

Copy it, fill it out, then email me @ treasurer@psauiuc.org and send it over Messenger. Wait for my approval before buying, Reimbursements up to 110% of your estimate.

Reserve a room at the Asian American Cultural Center (a free space).

Reserve an unpaid (free) campus space. Also one of the three submissions for a paid space.

Required for any event that uses a paid space. Submit only after Josh approves your budget.

No alcohol or substances, and no totals under $5.

The rules

Spending

  • Submit the purchase request for any paid-space event (Fridays by 12 pm).
  • Never spend your own money expecting a reimbursement — ask Josh first.
  • Budget every event and check the Solidarity Closet inventory first.
  • Send your budget over Messenger and email before any space request.

Saving

  • No reimbursements for alcohol or substances.
  • Purchases not cleared with Josh aren't guaranteed.
  • Request paid spaces strategically; research portions before buying.

Free spaces — Quad, Illini Grove, outdoor volleyball (athletic); AACC (awareness); LAR, FAR, Freer Hall (cultural).

Raising

  • Regular paid-space use means more fundraisers.
  • Coordinate with the board to avoid burnout.
  • Homemade food fundraisers do best.
  • Check with Josh before any fundraiser purchase request.

Budget template steps

  1. Copy Josh's empty template and fill in the event info. Check the Solidarity Closet (SPO) inventory before adding common items.
  2. Name it: [position] [date xx.xx.xx] [fundraiser name] budget template
  3. List each item with a purchase link, price per unit, and number of units — the total calculates automatically.
  4. In "use & other notes," justify each item: recipe, expected attendance, and how you scaled it.

Wait for Josh's approval before buying. Buy early or skip the requested changes and reimbursement isn't guaranteed. Approved budgets get up to 110% back.
